Administrative Assistant to School Counseling Department

This position is a member of the IT department and reports directly to the IT Coordinator. The general purpose is to support the school’s information systems and maintain the school network and on-site servers.

Responsibilities

  1. Coordinate and facilitate communications with School Counselors and staff, students, families and community agencies, including translation or interpretation if needed.
  2. Maintain strict confidentiality of services provided by School Counseling Department.
  3. Work closely with School Counselors to ensure that the message being shared is in line with School Counselor’s approach and desired language use.
  4. Performing general clerical duties which may include: photocopying, faxing, mailing, filing, incoming and outgoing phone calls and coordinating appointments.
  5. Coordinate records/tracking for counseling data analysis and service documentation.
  6. Coordinate records related to student attendance with Registrar, bringing any concerns excessive to the attention of the School Counseling department in a timely manner.
  7. Respond to parent questions regarding the School Counseling Department services
  8. Co-Coordinate School Counseling Department events including parent/student workshops, parent-conference support, guest speakers and school-wide initiatives.
  9. Support Admissions & Registrar’s office with communication and duties as directed.
  10. Performs other duties as assigned.

Qualifications

  1. College degree or above (psychology, sociology, counseling, social work preferred).
  2. 2 years’ relevant work experience or education in child and family support.
  3. 2 years’ relevant work experience in administrative/multinational work environment.
  4. English/Mandarin bilingual proficiency in both speaking and writing.
  5. Professional verbal and written communication skills.
  6. Comfort in approaching difficult conversation in parenting, emotions & child protection.
  7. Understanding of crisis management (training preferred).
  8. Willingness to engage in a professional learning community that prioritizes wellbeing.
  9. Good sense in handling urgency and ability to efficiently multi-task; attention to details
  10. Advanced PC skills in MS Excel, Word, PowerPoint and Outlook.
  11. Planning, organizing and time management skills.
  12. Flexibility in adjusting to organizational growth and a variety of circumstances.

 

Administrative Assistant to Principal

NCIC-Immersion School is looking for a highly collaborative Administrative Assistant to support the one of the school Principals.
S/he is the direct link between the school Principal, and all personnel and families. The Administrative Assistant reports to the Administrative Manager who is his/her supervisor. S/he co-facilitates appointments involving school offices (Principal, Registrar, Admissions) and families, and translates important correspondence written by the Principal. Written translations might include: internal bulletins, newsletters, handbooks, curriculum materials, and announcements. S/he also assists the Principal in managing teacher absences, database management, scheduling.

Responsibilities

  1. Coordinate and facilitate communications with Principal and Chinese staff, families, and school partners, including translation if needed.
  2. Perform translation duties (oral and written) for the Principal with parents and visitors.
  3. Perform general clerical duties which may include: photocopying, faxing, mailing, filing, and answering telephone to transfer to appropriate staff member.
  4. Prepare and review all correspondence from the Principal.
  5. Respond to parent questions about the school’s program, schedule, and/or events.
  6. Support Admissions and Registrar’s offices with communications, events, and other duties as directed.
  7. Coordinate parent-teacher conference events, including the scheduling of families, and arranging for or assisting with translation between teachers and parents.
  8. Perform other duties as assigned.

Qualifications

  1. College degree or above.
  2. Minimum 2 years of relevant working experience in administrative and multinational working environment.
  3. English/Mandarin bilingual, professional proficiency in both speaking and writing.
  4. Trustworthy with confidential information.
  5. Advanced PC skills in Microsoft, including Word, Excel, PowerPoint, and Outlook.
  6. Good sense in handling urgency and the ability to multi-task efficiently while paying attention to details.
  7. Planning, organizing & time management skills.
  8. Flexibility in adjusting to organizational growth and a variety of circumstances.
  9. Willingness to be part of an international, professional learning community.
